Every HR specialist knows this arithmetic: one missed work permit deadline means a violation for the employee, a fine for the company and lost manpower at the site. The RuMigrID app is now on Google Play, moving this arithmetic to where it belongs—in the employee’s own phone. You receive ready-to-use documents, not a stack of passport photos in a work chat.
Ministry of Internal Affairs forms are completed using the employee’s data Notifications and applications for the Ministry of Internal Affairs of the Russian Federation (МВД; the federal authority responsible for migration and other internal-affairs matters) are the most tedious part of hiring a foreign worker. In the app, they are assembled automatically: the employee photographs their passport and migration card once, optical recognition extracts the fields, and the forms are completed using the current templates—from the notification of entering into an employment contract (уведомление о заключении трудового договора) to patent-related applications. All that remains is to download and submit them; the employee submits them personally.
What this means for you: no retyping data from a poor photocopy and no typos in the passport number that could cause the notification to be returned.
Documents arrive by QR code, not through chats The employee shares the completed package using a single link or QR code. The originals remain with the employee, while you see exactly what you need: whether the work permit is valid, when the migration registration expires, and whether there is a voluntary health insurance policy and an employment contract. Passport copies do not spread through messengers or pile up on desks—for a personal-data protection team, that is noticeably more reassuring.
Checks against government databases—before the person starts their shift With one action, the app checks the Ministry of Internal Affairs Register of Controlled Persons (реестр контролируемых лиц МВД), wanted lists, international wanted lists, debts to bailiffs, Federal Financial Monitoring Service lists (Росфинмониторинг), and the validity of the work permit, TIN and SNILS. This is exactly the set of checks an HR department usually performs manually across different websites before hiring. The receiving party is checked separately as well, so that migration registration is not rejected because of an address error.
Vera—the first line of answers for your employee The built-in AI assistant Vera answers questions about work permits, migration registration and deadlines in plain language and in the employee’s language, taking their situation into account: citizenship, current stage and which documents have already been uploaded. It does not recite the law; it suggests the next step.
The practical effect for the company: questions like “what do I do now?” go not to HR on Friday evening, but to the assistant on the employee’s phone. Vera’s answers are for reference and do not constitute legal advice.
Deadlines you learn about in time The app maps the process according to the employee’s citizenship: for visa-free countries—migration registration, medical examination, fingerprinting, an exam and a work permit; for EAEU citizens—registration and an employment contract without a work permit or exam; for visa-required nationals—a work permit. You can see what is complete and what remains. The employee pays the monthly advance payment for the work permit directly in the app; the receipt is saved—and this is a payment to the budget, not a service purchase.
The reminder arrives in advance, while there is still time to meet the deadline. This is exactly where hiring most often breaks down: not because people do not know the rules, but because nobody kept the date in mind.
How much it costs the company Nothing: the employee installs the app, and they can start for free—Vera, document recognition and deadline tracking are available at no cost; advanced features are paid. The interface is available in six languages: Russian, Uzbek, Tajik, Kyrgyz, Hindi and English, so instructions for the team come down to a single link. The app also works in a browser, without installation.
